Presentation Guidelines

Oral Guidelines

Presentation Times:

  • Contributed Oral Presentations: 20 minutes total, including the question and answer time.
  • Invited Oral Presentations: 40 minutes total, including the question and answer time.

Due to the many parallel sessions and the need for attendees to move between sessions, the Session Moderators will strictly adhere to the time schedule.

Audio-Visual Setup:
Please note that you will be required to use the conference master laptop. All rooms will be equipped with standard PC’s, screens, microphones, and projectors. Please note that PowerPoint is the recommended presentation software and the preferred format is (16:9). Please be prepared to upload your presentation onto the master laptop the morning of your talk using a USB (No CDs or DVDs).

Poster Guidelines

Poster Sessions will be held in the Naupaka Salon 1-3 of the Waikoloa Beach Marriott on Tuesday, December 13, and Wednesday, December 14, from 4:00 – 5:40 pm.

Presenters are encouraged to leave their posters mounted for both the Tuesday and Wednesday sessions to allow for more viewing time, but you are only required to present during your scheduled session as noted above. Boards will be available for mounting the posters several hours before the session. Posters must be removed immediately following the Wednesday evening session. Please note that we cannot take responsibility for any posters left on the boards after Wednesday evening.

Each poster presenter will be allotted space that is 4 feet wide by 4 feet high. Please make your poster no larger than 46 inches wide by 46 inches high to ensure it fits nicely into the allotted space. The boards are made from cork, and tacks will be available for posting your work.

A sign with your program number and presenter will be placed at the location where you are to display your work. When preparing your poster presentation, please include the title of your presentation, the author listing, and program number.

Please note that PacSurf will have sanitizing kits available in the Poster Session Room (wipes, hand sanitizer, and Lysol) for your use. Face masks are recommended for poster presenters but are not required.
